Nationwide technology refresh across multiple sites
35 sites, one partner, and a paperwork trail that held together from London to Scotland.
The problem
A UK enterprise needed a nationwide laptop refresh across 35 sites. The obvious approach — a different regional ITAD provider at each location — meant fragmented timelines, mismatched asset-tracking methods, and a scattered paper trail. With thousands of data-bearing devices in motion, that lack of central control is a real risk: assets get lost in transit and the audit trail falls apart.
What we did
Rather than run 35 separate collection days, we coordinated a hub-and-spoke approach: equipment from all 35 offices was collated into 7 regional hubs, from London up to Scotland, with our own tracked logistics handling the last leg. Every asset was logged individually, so their compliance team could work at whatever level of detail they needed — a top-level summary, or the serial number of one specific drive from one specific office.
The result
3,293 individual items collected, 5,318.5kg of hardware diverted from waste, an estimated 203 tonnes of CO2e saved through reuse. Reporting came in two layers: an individual breakdown for each of the 7 hubs, and a single cumulative master report with overall ESG statistics for the whole project.
The client also wanted their retired tech to support the communities their offices sit in. They polled their own staff for local charities to support in London and Scotland, and we did the legwork — contacting each one, working out what they actually needed, and rebuilding devices to match. The project ended with over £4,000 of refurbished enterprise laptops donated to employee-chosen charities.
