Multi-client IT recycling for a managed service provider
One collection, seven organisations, seven completely separate paperwork trails.
The client
A managed service provider, collecting on behalf of their own organisation and six separate clients. Each of those clients needed its own Waste Transfer Note, Asset Inventory Sheet and Certificate of Data Destruction — individually, not bundled.
The problem
Seven organisations' worth of equipment, collected on one job, needed to come out the other end as seven clean, separate audit trails: seven Waste Transfer Notes, seven Asset Inventory Sheets, seven Certificates of Data Destruction. Handled the wrong way, that kind of multi-client collection collapses into a single report, leaving the MSP to work out afterwards which devices belonged to which client.
What we did
We booked one collection date and built the process around the seven organisations from the outset, rather than sorting it out afterwards. Every device was logged and tracked against its correct client from the moment it arrived, so each organisation's equipment stayed separate through sanitisation and processing with no cross-referencing needed at the end.
The result
Seven distinct sets of paperwork, one per client, ready to file or pass straight on for their own compliance records. Across all seven collections: 188 devices processed, 412.7kg of hardware, an estimated 13.2 tonnes of CO2e saved.
For us, running a collection this way is simply how we book equipment in. For the MSP, it removed a job they would otherwise have been left to do themselves.
